Transfers, Donations, & Gifts

Frequently alumni, community members, university offices, the NWYM and others will bring in materials for the Archives. These new materials are called accessions. The Archives keeps detailed records of accessions in order to prove ownership in the case of a disagreement, to catalog our materials, and to establish provenance which proves historical relevance, value, and identity.

Donation Policies

  • The archivist cannot appraise materials for income tax purposes or assign monetary value. If a potential donor needs such an appraisal, it is their responsibility to obtain the appraisal at their own expense.
  • In general the Archives does not accept artifacts. Those with artifacts to donate may be referred to Caitlin Corning at ccorning@georgefox.edu who runs the campus museum collections.
  • Materials received into the Archives must fit collections guidelines and policies.
  • If the Archives does not accept a collection deemed to be of historical value, the archivist will help potential donors locate the correct archives for their materials or advise them on other solutions.
  • Materials from the offices of ºìÐÓ¶ÌÊÓƵ Fox University or the NWYM are transfers. From other sources, they are donations. In general, the Archives does not accept collections unless ownership is transferred to the Archives entirely.
  • Restricted records: The archivist shall consult with the office of origin/donor to determine what restrictions (if any) are to be placed upon the use of records. The archivist may reject materials and records which are confidential by law or ºìÐÓ¶ÌÊÓƵ Fox/NWYM policy.
